About the Role:
A global leader in healthcare is seeking a highly organized and detail-oriented Executive Assistant to support the GA&P EMEA Senior Directors.

Key Responsibilities:
Calendar Management
  • Schedule meetings and appointments for senior directors.
  • Track important dates and deadlines.
  • Coordinate with the broader team to plan meetings and events.
  • Follow up on budget-related tasks:
    • Office budget tracking
    • Department budget monitoring
    • Expense management for senior directors
Communication
  • Take and distribute notes from team meetings.
  • Manage and update the GAP Brussels distribution list.
  • Act as the primary point of contact for internal and external parties, including partners, stakeholders, Diegem site staff, and suppliers.
  • Serve as liaison for stakeholders and external partners.

Travel Arrangements
  • Organize all aspects of travel for the senior directors, including:
    • Booking flights, accommodations, and transportation (home–airport–hotel) using Amex Travel.
    • Preparing and distributing detailed travel itineraries through Amex or relevant travel providers.
Requirements:
  • High School diploma or equivalent education required.
  • 4–6 years of professional experience in an executive assistant or administrative support role.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • High level of discretion and confidentiality.
  • Proven ability to manage complex schedules, budgets, and travel arrangements.
  • Fluent in English; knowledge of additional European languages is a plus.
  • Comfortable working independently and collaboratively in a high-pressure environment.

Practical’s:

Location: Diegem, Belgium (On-site)
Duration: 6 months initially
Start Date: ASAP
Work Model: Full-time / Hybrid
