About the Role: A global leader in healthcare is seeking a highly organized and detail-oriented Executive Assistant to support the GA&P EMEA Senior Directors.
Key Responsibilities: Calendar Management
Schedule meetings and appointments for senior directors.
Track important dates and deadlines.
Coordinate with the broader team to plan meetings and events.
Follow up on budget-related tasks:
Office budget tracking
Department budget monitoring
Expense management for senior directors
Communication
Take and distribute notes from team meetings.
Manage and update the GAP Brussels distribution list.
Act as the primary point of contact for internal and external parties, including partners, stakeholders, Diegem site staff, and suppliers.
Serve as liaison for stakeholders and external partners.
Travel Arrangements
Organize all aspects of travel for the senior directors, including:
Booking flights, accommodations, and transportation (home–airport–hotel) using Amex Travel.
Preparing and distributing detailed travel itineraries through Amex or relevant travel providers.
Requirements:
High School diploma or equivalent education required.
4–6 years of professional experience in an executive assistant or administrative support role.
Excellent organizational and multitasking skills.
Strong written and verbal communication abilities.
High level of discretion and confidentiality.
Proven ability to manage complex schedules, budgets, and travel arrangements.
Fluent in English; knowledge of additional European languages is a plus.
Comfortable working independently and collaboratively in a high-pressure environment.
