Purpose of the Role
The Associate Supply Chain Import/Export (Level 3) is responsible for executing Order-to-Invoice activities within the global To-the-Market Supply chain, ensuring reliable and compliant distribution of pharmaceutical products. The role coordinates end-to-end shipments for both internal and external customers, manages import/export documentation, and supports operational excellence across logistics processes.
Acting as a key point of contact within Supply Chain Operations, the position collaborates closely with internal stakeholders (Affiliates, Manufacturing Sites, Quality, Planning) and external partners (Distributors, Third-Party Logistics providers) to ensure timely delivery, issue resolution, and continuous improvement within a GMP/GDP-regulated environment.
Responsibilities
- Ensure reliable and compliant global distribution of pharmaceutical products in line with GDP/GMP requirements.
- Process and manage supply orders on a daily basis within Order-to-Cash workflows.
- Coordinate end-to-end shipment activities for both import and export, including documentation and compliance requirements.
- Book, track, and monitor shipments, proactively identifying and resolving potential delays or risks.
- Act as first point of contact for logistics, service, and transport-related issues, ensuring timely resolution.
- Coordinate and execute product return processes in alignment with company procedures.
- Collaborate with third-party logistics providers and internal stakeholders to ensure smooth supply chain operations.
- Build and maintain strong relationships with internal departments and external customers (affiliates, distributors, etc.).
- Represent Supply Chain Operations in cross-functional projects and initiatives.
- Identify opportunities for process optimization and continuous improvement within Order-to-Cash activities.
- Support KPI tracking and reporting, contributing to performance monitoring and operational insights.
- Ensure compliance with GDP/GMP standards and maintain up-to-date training records.
- Review and contribute to Order-to-Cash policies and procedures, recommending improvements where needed.
- Support business continuity by contributing to disaster recovery planning alongside Planning, Distribution, and Quality teams.
- Ensure data accuracy and integrity across supply chain systems and documentation.
Requirements
Essential (Must-Have)
- Bachelor’s degree in Supply Chain, Logistics, Business Administration, or related field, or equivalent combination of education and experience.
- Minimum 2 years of experience in Supply Chain, Logistics, or Customer Service within a GMP and/or GDP-regulated environment.
- Hands-on experience with order processing, shipment coordination, and import/export documentation.
- Strong understanding of supply chain processes, including Order-to-Cash workflows.
- Ability to manage multiple tasks simultaneously in a fast-paced, international environment.
- Strong problem-solving skills with the ability to proactively identify and resolve issues.
- Excellent communication skills and ability to work cross-functionally with diverse stakeholders.
- Customer-focused mindset with a high level of attention to detail.
- Affinity with systems and computer-based work (ERP systems experience preferred).
- Fluency in English, both written and spoken.
Desired (Nice-to-Have)
- Experience in pharmaceutical or highly regulated industries.
- Experience working with third-party logistics providers (3PLs).
- Knowledge of ERP systems (e.g., SAP) and logistics tracking tools.
- Experience within Customer Service or Supply Chain Operations teams.
- Exposure to continuous improvement or process optimization initiatives.
